Job Summary:
We are looking for a professional Receptionist to join our office at Iraq Mall and manage front desk operations on a daily basis. The Receptionist will be the first point of contact for visitors, employees, and external partners, ensuring a welcoming atmosphere and smooth administrative support for the office.
The ideal candidate should have a pleasant personality, excellent communication skills, and a customer service attitude. She will handle calls, visitors, correspondence, and provide clerical support to different departments. Multitasking, organizational skills, and the ability to work under pressure are essential for this role.
Ultimately, the Receptionist will ensure that the front office is well-organized, welcoming, and that all administrative tasks are performed efficiently to support the smooth operation of Iraq Mall’s management office.
Key of responsibility:
- Welcome and greet visitors in a professional and friendly manner.
- Direct guests to the appropriate person or department.
- Answer, screen, and forward phone calls, ensuring prompt and polite communication.
- Maintain the reception area, keeping it tidy and presentable with all required materials (forms, brochures, stationery).
- Manage incoming and outgoing mail, deliveries, and correspondence.
- Provide basic information to visitors, clients, and staff in person, by phone, or email.
- Maintain visitor logs and assist in office security procedures.
- Manage schedules, update calendars, and coordinate meetings as required.
- Handle office supplies inventory and place orders when needed.
- Support the office team with clerical duties such as filing, photocopying, scanning, and document preparation.
Qualifications & Experience:
- Previous experience as a Receptionist, Front Desk Officer, or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with office equipment (printers, scanners, fax machines).
- Professional appearance and positive customer service attitude.
- Excellent verbal and written communication skills (Arabic & English preferred).
- Strong organizational and multitasking abilities.
- Ability to remain calm and proactive when issues arise.
- High school diploma required; diploma/degree in Administration or Office Management is a plus.
